Earthkeep is operated by EUCan AgriSolutions Inc. This policy explains what personal information we collect, why we collect it, who we share it with, and what control you have over it. We have written it in plain language on purpose.
We collect as little as we can get away with. We do not sell your personal information, and we never will.
What we collect
Information you give us directly. When you sign up for our free Zone Calendar or our email list, we ask for your first name, email address, and postal or ZIP code. The postal code is the whole point of the tool — it is how we work out your approximate hardiness zone and send you the right regional calendar rather than a generic one. If you contact us through our contact form, we collect whatever you choose to put in that form, including your name, email address, and message.
Information collected automatically. Like nearly every website, our web host records standard server log information when you visit — your IP address, browser type, the pages you viewed, and the date and time. This is used for security and to keep the site running, not to build a profile of you.
Information we do not collect. We do not ask for your street address, phone number, date of birth, or payment information. Earthkeep does not process payments. If you buy something from a retailer we link to, that purchase happens entirely on their site under their privacy policy, and we never see your payment details.
Why we collect it, and your consent
We use your information to send you the Zone Calendar you asked for, to send you the emails you signed up for, and to answer you when you contact us. That is the whole list.
We follow Canada’s Anti-Spam Legislation (CASL). Our email list uses double opt-in: after you enter your email address, we send you a confirmation message, and you are only added once you click the link in it. That gives us your express consent, and it means nobody can sign you up without your knowledge. Every email we send includes a working unsubscribe link, and we honour unsubscribes promptly.
Who we share it with
We do not sell, rent, or trade your personal information. We do rely on a small number of service providers to run the site, and your information passes through them:
- MailerLite — our email marketing platform. Your name, email address, postal code, and the zone information derived from it are stored there so we can send you the right calendar and our newsletter.
- Google (Apps Script) — we run a small automated script on Google’s platform that reads the postal code you gave us, works out the matching hardiness zone, and writes the correct calendar link back to your subscriber record. Your email address and postal code pass through this process.
- GreenGeeks — our web host, which stores the website and its server logs.
- Google Analytics
Some of these providers store or process data on servers outside Canada, including in the United States. That means your information may be subject to the laws of those countries, including lawful access requests by foreign authorities. We share this so you can make an informed choice before signing up.
We may also disclose information if we are legally required to do so, or where necessary to protect our rights or the safety of others.
Cookies and affiliate links
Our site uses a small number of cookies to function properly — for example, to remember that you have already dismissed a notice, or to keep you logged in if you have an account.
Affiliate cookies deserve a specific mention. Some of our outbound links to retailers are affiliate links. When you click one, that retailer or its affiliate network typically places a cookie in your browser so they can tell that you arrived from Earthkeep, and pay us a small commission if you go on to buy something. That cookie is set and controlled by them, not by us, and it is governed by their privacy policy. We do not receive your name, address, or payment details from these purchases — typically only aggregate reporting on whether a sale occurred. You can read more on our Affiliate Disclosure page.
You can block or delete cookies in your browser settings at any time. Some parts of the site may not work as intended if you do.
How long we keep it
We keep your subscriber information for as long as you remain on our list. If you unsubscribe, we retain a minimal record of your email address and the fact that you unsubscribed, so that we can honour that choice and not email you again — this is a requirement of anti-spam law, not a loophole. You can ask us to delete your record entirely at any time (see below).
Server logs are retained by our web host on their standard schedule. Contact form messages are kept only as long as needed to deal with your enquiry.
Your rights
Under Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and comparable provincial legislation, you have the right to:
- Access the personal information we hold about you
- Correct it if it is wrong or out of date
- Withdraw your consent and unsubscribe at any time
- Request deletion of your personal information
- Complain to the Office of the Privacy Commissioner of Canada if you believe we have mishandled your information
To exercise any of these, email us at hello@earthkeep.ca and we will respond within a reasonable time. The fastest way to unsubscribe is the link at the bottom of any email we send you.
Security
We take reasonable steps to protect your information, including serving the site over an encrypted connection and limiting access to our systems. No website can promise perfect security, and we will not pretend otherwise — but we hold very little about you in the first place, which is the best protection of all.
Children
Earthkeep is intended for adults. We do not knowingly collect personal information from children. If you believe a child has given us their information, contact us and we will delete it.
Changes to this policy
We may update this policy as the site grows or as our tools change. When we do, we will change the “last updated” date at the top. Material changes affecting how we use your information will be communicated to subscribers by email.
